Tournament FOH & Field Setup Task List

Zone 1: Front of House (Entry & Admissions)

The goal is to control flow immediately and make check-in unavoidable.

Admissions Station (Main Entrance)

  • Placement: Positioned straight in front of the main entrance, making admissions unavoidable/obvious but preventing spectators from scattering in the complex without being checked.
  • Equipment:

[ ] (2) Admissions Tables

[ ] (1) Rental Tent (set up over tables)

  • Branding & Signage:

[ ] Install Tablewraps on both tables.

[ ] Place Admission QR Signs on easels on each table.

Coaches/Directors/Players- Team/Player Check-In (Side Placement)

  • Placement: Off to the left or right of Admissions. Angle the tables differently so the purpose is distinct from spectator entry.
  • Equipment:

[ ] (2) Check-in Tables

  • Branding & Signage:

[ ] Install Tablewrap on the table.

[ ] Hang Team Check-in Sign from the front of the table.


Zone 2: Field Set Up (Per 7v7 Field)

Note: One 50-yard line station typically serves two 7v7 fields.

Field Branding & Flags

[ ] Locate the silver number on the outside pocket to match the flag inside.

That number indicates the number on the flag inside the case. For the base if you have turf you definitely want a cross base and put weights on it or we also offer a bag you can fill with water. The nice thing is the cross base can go anywhere. Ground spikes are easy to set up as long as you have somewhere that you can put them in the ground.

[ ] Turf: Use cross base + weights/water bags.

[ ] Grass: Use ground spikes.

  • Backdrop:

[ ] (1) per venue. Place in a high-visibility area near fields (accessible for scouts/media) without blocking traffic.

Positioned past check-in in an open, high-visibility area near fields, if fields and check-in are on different levels, the backdrop should be near the fields in an open space for scouts/media

  • Must not impede foot traffic or create congestion
  • Prioritize locations with maximum attendee exposure

Champ Flags:

[ ] Keep (1-2) flags staged for post-game winning team photos.

[ ]Sent back to headquarters when done.

50-Yard Line Hub (Per 2 Fields)

  • Equipment:

[ ] (1) Rental Tent

[ ] (1) Table (positioned under tent)

[ ] Tablewrap installed on the table.

Technical & Game Equipment

  • Scoreboards:

[ ] (1) Scoreboard per 7v7 field.

[ ] Remotes: Confirm remote ID matches the assigned scoreboard.

[ ] Power: Install fresh AAA batteries at start of day.

[ ]Replace batteries at the end of day.

  • QB Stations:

[ ] (1) QB Timer per field (Confirm battery functionality).

[ ] (1) QB Tee per field.


Staff Reminders

  • Stay Mobile: Don't stay behind tables if a bottleneck forms; move to the line to speed up the process.
  • Visibility: Ensure staff are visible to reduce "funneling" confusion.

Battery Management: Keep a dedicated kit for fresh AAA batteries and chargers on hand at all times.
